Policies and procedures
Each organisation will have its own policies and procedures. They may be directly related to the use of technology or designed to cover many aspects of the organisation. These policies and procedures may include:
- Occupational Health & Safety (OH&S) guidelines
- Equal Employment Opportunity (EEO) guidelines
- guidelines outlining work practices in a department
- the structure of departments within an organisation
- work agreements or enterprise bargains
- manuals on how to use technological equipment
- preventative maintenance procedures
- purchasing requisition procedures and documentation
Information technology policies
IT policies are general rules that govern everyday IT activities. IT policies cover IT activities, such as the following:
- Purchasing – How many supplier quotes will be required? What factors will be considered when selecting a supplier?
- Standard software – What software will be made available to all staff on desktops? Will staff be allowed to have non standard software on their computers?
- Internet access – Will staff be given unlimited access to the internet or will their access be limited to designated sites?
- E-mail usage – what material will be considered unacceptable? What will be the files size limit? How many kilobytes of space will users be allowed to have to store their emails?
- Naming directories and files – Will all drives be available to all staff? What standards will users have to follow when naming files and folders on general access drives?
- Network security – Who will have access to the network and when? Will staff have access to the network from home? Will consultants working on software have remote access to the network? What virus protection measures will be taken?
Information technology procedures
An IT procedure is a list of steps used to complete an IT activity. Here are some examples of different types of IT procedures:
- setting up a PC
- attaching a printer to the network
- converting files to HTML for the intranet
- applying for access to software systems
- requesting the development of a new template
- back up and retrieval of files
- user documentation
