Stock Control

Completing documentation Accurate record of goods in and out of the storage area needs to be maintained. The main types of documents required are:



 

Bin Cards & Stock Ledger Cards

Bin cards are used to record the movement of stock from the store. The card should be attached to each commodity storage vessel (bin) in some way and must be kept up to date.

The bin card may also show details of UNIT SIZE and an ITEM NUMBER may be designated.

The Stock Control Card or Stock Ledger Card is centrally filed in the Supervisors’ office or electronically on a computer bank. Details of stock movement are adjusted after the action has taken place rather than at the time of movement. This document is an excellent control check for production yields verses commodity requisitioning.

Separate cards / records are kept for each type of commodities. An example follows.

Transfer Forms

Transfer Forms are used by departments using the same stock items or commodities to transfer items if one department runs out of stock and cannot access more. This may occur if the store is closed due to holiday or leave situations.

Supervisors from both departments must authorise the transfer and a copy of the form must go to accounting so charges may be adjusted for each department. As a control measure, one copy should remain in the department as a check and record to adjust stock levels.

Requisition forms are internal documents which request the supply of goods to a department.

Meat tags are used in the control of primal cuts of meat and expensive fish and shellfish.

Issue Notes record all items being issued to a department (similar to a Requisition Form).
